Loyal Source is looking for a Project Coordinator – Security Alarm Systems for an employment opportunity in San Antonio, Texas.

About the Role:

The Project Coordinator – Security Alarm Systems position is integral to our Technical Services Division, responsible for overseeing the installation appointments, managing customer issues, handling billing and invoicing, and processing contract paperwork. This role supports multiple projects and Project Managers, ensuring seamless operations and high-quality service delivery to our clients.

Key Responsibilities:

  • Reports to Enterprise Install Manager
  • Collaborates with Project Managers and AR coordinator
  • Delivers reports to Install Manager and General Manager
  • Attends Work-In-Progress (WIP) meetings
  • Sends “Welcome” emails based on customer tenure
  • Creates SharePoint and Fieldwire project folders
  • Manages procurement for all jobs within a project
  • Obtains Data/Cut Sheets to create submittal package
  • Collects Sub Quotes and Project Schedules
  • Creates Purchase Orders (POs) for Sub Labor and Rented Material
  • Locates material alternates in partnership with warehouse personnel
  • Performs material tracking
  • Assists PMs with subcontractor assignment and scheduling
  • Ensures Projected Financial Changes (PFC adjustment) are correct
  • Invoices projects against RVI report as per PM guidance
  • Delivers backup documents along with invoices
  • Manages Pencil Copies
  • Requests General Contractor Invoice acceptance and payment commitment
  • Assists with billing corrections
  • Handles certified payroll
  • Enrolls company and subcontractors in ROCIP, CCIP, OCIP plans
  • Attends virtual project meetings, takes notes, and distributes minute updates
  • Communicates on behalf of PM if needed
  • Aids in closeout document submissions
  • Conducts Bonded Warehouse Requisition
  • Manages small projects from start to finish

Required Qualifications:

  • Experience as a Construction Project Coordinator
  • 3+ years of experience in a similar role, performing administrative and project coordination duties within a sales or service industry
  • Working knowledge of ERP systems preferred
  • Proficiency in Microsoft Office (Word, Excel, & PowerPoint)
  • Excellent decision-making skills, organizational skills, and attention to detail
  • Strong oral and written communication skills
  • Ability to use discretion, solve problems, and escalate issues when necessary
  • Data analysis and interpretation skills
  • Speed and accuracy with attention to detail

Schedule: Monday – Friday, 8 AM – 5 PM

Pay: $26.00 per hour
