Facility Management Specialist
Job Description
Summary
The Facility Management Specialist supports the operational readiness, compliance, maintenance, and oversight of Medical Disability Examination (MDE) clinic facilities across assigned regions. This position is responsible for ensure facilities operate efficiently, remain compliant with company and regulatory standards, and provide a safe and professional environment for providers, Veterans, staff, and visitors. The specialist serves as a liaison between Property Managers, vendors, clinic leadership, logistics teams, compliance teams, and corporate stakeholders to resolve facility-related issues, coordinate services, and support clinic expansion initiatives.
Duties and Functions
· Manage day-to-day facility operations for assigned MDE clinic locations.
· Coordinate facility maintenance, repairs, and preventative maintenance activities.
· Conduct routine facility inspections to ensure compliance with ADA, OSHA, safety, and operational standards.
· Partner with Property Management, Compliance, and Logistics teams during clinic openings, relocations, closures, and expansion projects.
· Maintain accurate facility documentation, work orders, vendor records, and inspection reports within company systems.
· Track and monitor facility-related invoices and resolve billing discrepancies between vendors and the organization.
· Support emergency response efforts related to facility incidents, weather events, power outages, and operational disruptions.
· Assist clinic leadership with coordinating vendor access and scheduling for maintenance and repair activities.
· Provide regular updates and escalation reports to leadership regarding facility concerns, operational risks, and project timelines.
· Travel to clinic locations as required to support inspections, site readiness assessments, and operational needs.
Education and Experience
· High School Diploma or equivalent required.
· Associates or Bachelor’s Degree in Business Administration, Healthcare Administration, Facilities Management, Logistics, or related field preferred.
· Minimum of 3 to 5 years of experience in facility management, property management, healthcare operations, logistics, or related operational support role preferred.
· Experience supporting multi-site operations or healthcare clinic environments preferred.
Requirements
· Experience supporting government healthcare contracts or medical clinic operations.
· Knowledge of vendor management, and property oversight. (Required)
· Experience using work order tracking systems, inventory systems, or facility management software.
· Ability to travel up to 50-70% as operational needs require. (Required)
Knowledge/Skills/Abilities (KSA)
Knowledge—
· Of facility operations, property management practices, and vendor coordination.
· Understanding of ADA, OSHA, and workplace safety standards. (Required)
· Knowledge of building maintenance processes and preventative maintenance procedures.
· Familiarity with healthcare operational environments and clinic readiness standards.
Skills-
· Strong organizational and time management skills.
· Excellent verbal and written communication skills.
· Ability to prioritize multiple projects in a fast-paced operational environment.
· Strong problem-solving and conflict resolution skills.
· Proficiency in Microsoft Office Suite, work order systems, and reporting tools.

· Ability to manage multiple clinic locations simultaneously.
· Ability to work independently while maintaining communication with cross-functional teams.
· Ability to analyze operational issues and implement timely solutions.
· Ability to maintain professionalism when interacting with vendors, leadership, and clinical staff.
· Ability to travel and respond to urgent facility issues when necessary.
Supervisory Responsibilities
This position may provide operational oversight and coordination of vendors, contractors, and temporary support personnel.
Work Environment/Condition
· Work is performed remotely or based on operational needs (warehouse or healthcare clinic environments).
· Position requires frequent communication with internal teams, and vendors.
· Travel to clinic sites nationwide may be required.
· Occasional evening or weekend support may be necessary during emergencies, clinic launches, or operational escalations.
Physical Demands
· Ability to sit, stand, walk, bend, or lift equipment or supplies up to 50 pounds with or without reasonable accommodation.
· Ability to travel by vehicle by vehicle or air as required.
· Ability to inspect facilities, storage areas, and clinic environments for extended periods.
